Welcome to the guide for setting up your OpenDental integration with the Patient Rewards Hub. This integration allows you to seamlessly import patient records creating a Hub profile and keep statuses in the Hub up to date. Follow the steps below to get started!
Prerequisites:
- Admin rights in Patient Rewards Hub
- Admin rights in OpenDental
Connect
In the Hub, go to Settings ⚙️>Integrations>OpenDental.
Click Connect to get started.
Copy & Paste API Key
Go to your main OpenDental computer and navigate to Setup > Advanced Setup > API > Add Key.
Go back to the Patient Rewards Hub and copy the PracticeGenius API Key and paste it in OpenDental.
Click OK and then Save.
Enter Computer Name
Go to your main OpenDental computer. Navigate to: Windows > Start > Settings > System > About > Device Specifications > Device Name
Copy the name of the main Open Dental Computer and paste in the Hub. Click Connect.
Schedule Sync
The initial sync will transfer your patient data, including patient profiles and treatment statuses, from OpenDental to the Hub. After this initial sync, the Hub will automatically stay in sync with OpenDental, updating in real-time whenever changes are made. Choose when to start the sync and click SCHEDULE SYNC.
Once the sync is scheduled, you'll receive a confirmation message.
The process may take anywhere from 5 minutes to over 30 minutes, depending on the size
of your data and connection speed. Please revisit later for updates. To ensure accuracy, avoid altering or adding new member records in the Hub until the import process is fully complete.
You'll receive an email alert once your sync is complete.
Tag Mapping
Once the initial import of data from OpenDental is complete, you'll receive an email alert to set up your Tag Mapping or you may navigate directly to Settings ⚙️>Integrations>OpenDental>Tag Mapping.
When a status changes in OpenDental, it updates in the Hub too. This helps the Hub personalize content and permissions and makes workflows automatic. Before you complete your tag mapping, be sure that your Groups and Tags are set up correctly.
On the left, you will find statuses pulled in from OpenDental. Click the dropdown button to the right to search or type for the appropriate Hub tag.
Please note, whenever a new status is added in OpenDental, you'll need to come into the Hub to map that new status accordingly.
Import Failures
If you aren't able to find a member in your Hub, the chances are they didn't sync over due to data within OpenDental.
Please go to Settings ⚙️>Integrations>OpenDental>Import Failures. From here, you'll see the name of the member and what error kept them from syncing.
Once the error is corrected in OpenDental and the new data saved, the patient information will automatically sync over.
