Welcome to the guide for setting up your Greyfinch integration with the Patient Rewards Hub. This integration allows you to seamlessly import patient records creating a Hub profile and keeping statuses in the Hub up to date. Follow the steps below to get started!

Prerequisites:

  • admin rights in Cultruello / PRH
  • access to Settings>Integrations and Settings>Developers in Greyfinch

Settings

In the Hub, go to Settings ⚙️>Integrations>Greyfinch. Please note, if you do not see Greyfinch as an option under integration, contact us at support@culturello.com

Click Connect to get started.

Follow the instructions on the screen to complete the setup steps inside of Greyfinch.

Step 1: Open Greyfinch Settings & Install Culturello App

Log into your Greyfinch account.

Go to Settings

Go to Apps

Scroll to the Culturello app and click Install.

Step 2: Go to the Developers Page

Go to Settings>Developers

Click Add new personal access token.

Step 3: Create a New Token

For Description, type HubSync. For Expires At, select 2 years. Check the box to agree to the rules and click Create.

Don't close the Greyfinch page until you finish step 3!

💡 Note: A token is a special code that helps the Hub and Greyfinch work together safely.

Step 4: Copy and Paste the Codes into the Hub

You'll see two codes: Access Key and Access Secret

Click the copy button next to each code and paste it into the matching box in the Hub. Click Connect.

*If you lose the codes or close the page, just start again and make a new token.

Step 5: Schedule the Sync

The initial sync will transfer your patient data, including patient profiles and treatment statuses, from Greyfinch to the Hub.

Once the sync is scheduled, you'll be taken back to the Greyfinch overview page.

Sync Status

At anytime you may navigate to the Integrations page to check the Status and Last Sync Date. Below are the 3 statuses you'll see:

Active= data is currently syncing over

Inactive = no new or updated data syncing from the software in more than 2 days

Stalled = no new or updated data syncing from the software in more than 2 weeks

The Inactive status is normal if your office has been closed over a long weekend or holiday. However, if you have been actively seeing members and no data is syncing, please reach out to us at support@culturello.com.

Tag Mapping

Once the initial data import from Greyfinch is complete, you'll receive an email prompting you to set up your Tag Mapping. You can also access it anytime by going to Settings ⚙️>Integrations>Greyfinch>Tag Mapping. On the left, you’ll see the statuses pulled from Greyfinch. Click the dropdown button on the right to search for or type in the appropriate Hub tag.

When a status changes in Greyfinch, it automatically updates in the Hub. This ensures the Hub can personalize content and permissions, while also streamlining workflows. Before you complete your tag mapping, be sure that your Groups and Tags are set up correctly.

 💡 Note: When a new status is added in Greyfinch, you’ll need to return to the Hub to map it accordingly.

Import Failures

If you can’t find a member in the Hub, it's likely they didn’t sync due to missing or incorrect data in Greyfinch.

To troubleshoot, go to Settings ⚙️ > Integrations > Greyfinch > Import Failures. There, you'll see the member’s name along with the specific error that prevented the sync.

Once the error is corrected in Greyfinch and the new data saved, the patient information will automatically sync over.

Appointments

Go to Settings ⚙️> Appointments and ensure that appointments are turned on. Once enabled, appointments will automatically sync from Greyfinch to the Hub.

If an appointment isn’t appearing in the Hub, navigate to Settings ⚙️ > Integrations > Greyfinch > Appointment Failures to view the error message and troubleshoot the issue.

Automations

With this integration, your practice can automatically award Hub Points at key moments in the patient journey—directly from Greyfinch. This reduces manual work, aligns rewards with treatment milestones, and ensures patients are recognized promptly for their progress. Click here for step by step instructions.

Now that your Greyfinch integration is live, you’re officially set up to connect more seamlessly. You’ll see a Hub button in each patient’s chart—click it to jump directly to their profile, award points, and take further actions with ease.
