Your members are already your best marketers, they just need an easy way to spread the word. The Referral AI Agent gives them that: sharing their experience with friends and family becomes as simple as sending a text. Behind the scenes, your business gets an always-on system that manages campaigns, sorts every lead, and turns those referrals into new patients — all without adding to your team's workload.
Set up your rewards, messaging, access, and social promotion once, and the Referral Agent takes it from there. It can run multiple campaigns at once, tap into ready-made marketing content, open referrals up beyond just patient-to-patient, keep every lead organized automatically, and analyze how each campaign is performing — so your team always knows what's working without pulling a single report.
With the Referral AI Agent, you can:
- Motivate patients, members, employees, and partners to refer their networks
- Run several distinct campaigns at once, each with its own audience and message
- Use pre-made marketplace content to promote every campaign
- Track every lead in one place, from first referral to reward fulfillment
- Get ongoing, AI-generated insight into which campaigns are performing best — without pulling a report yourself
Let's dive in and see how it works.
Set Up Your Referral Campaign
To get to the Referrals page, navigate to the Manage tab at the top of the screen, then click Referrals.
From here, click ADD and then choose your campaign type.
Your starting point for a campaign depends on your membership type:
- Patient Hub members create campaigns where patients refer new patients, employees, or business partners.
- Employee Hub members create campaigns where employees refer patients, job candidates, or business partners.
Once you choose your campaign type, you can choose from customizable Marketplace content or create your own from scratch.
Customize Your Campaign
If you choose a campaign from the Marketplace, it comes preloaded with ready to go language and images.
Date Range
Choose a start date for your campaign. You can also set an end date, or leave it ongoing.
You can create as many campaigns as you like — there's no limit. But each member only ever sees one active campaign per referral type at a time: whichever is newest and most relevant to them. So a member might technically qualify for several running campaigns of the same type, but their app will only display the most recent one.
Since there are three referral types, a member could see up to 3 campaigns at once — one per type:
- Patient refers a patient
- Patient refers an employee
- Patient refers a partner
You can create 10 different "patient refers a patient" campaigns over the course of a year, and all 10 would technically stay live, but members would only ever see the newest one. If you launch a Summer campaign and later launch a Back to School campaign, members will see Back to School in their app, even though the Summer campaign is still running behind the scenes.
Campaign Goal
Keep everyone focused on the same goal. Set how many referrals you'd like to see within a specific timeframe. For example, 6 referrals in 3 months. As you update your goal, the calculator will show you the approximate value.
You can edit these numbers at any time by clicking Edit in the builder, or by navigating to Settings ⚙️ > Other Settings > Referral Settings.
Audience
Choose who can participate in this campaign. You may choose all members or create a custom segment.
Set Rewards for Members and Invitees
Next, you'll set two rewards: Member Reward and Lead Reward. Both default to No Reward — and that's by design.
Member Reward: Members tend to share more authentically when there's no incentive attached. Skipping a reward signals genuine trust in your business. If you'd still like to offer one, you can switch to Points or a Custom Reward.
Lead Reward: The person being referred already trusts whoever sent them, and that trust usually does more to bring them in than any discount would. If you'd like to add one anyway, Points or a Custom Reward (like an exclusive discount) are both available.
A quick note on messaging: if a communication references the reward and none is set, it will automatically show "our heartfelt thanks" for the Member Reward or "a warm welcome" for the Lead Reward — so your messages still read naturally with no reward configured.
Review Messages for your Members and Invitees
Every referral campaign includes a Communications section, where you control every message a member receives about that campaign from their first invitation to refer, through ongoing reminders, to the thank-you they get after sharing. CLICK HERE to learn more.
Scroll through to review the visuals and messages shown to members and leads:
- Campaign Image is seen by the member on the Member Share Page and in communications (social, email, Hub); invitees see a matching image with their own message.
- Member Share Page is the page a member sees after clicking Refer-A-Friend in the Hub, where they share with friends and family.
- Member Message to Invitee is the pre-filled message a member sees before sharing; they can customize it.
- Invitee Signup Page welcomes invitees and captures their contact info.
- Invitee Signup Confirmation Page confirms to the invitee that they've successfully signed up.
Click each heading to select images, update messages, and preview the page. Click Publish when you're satisfied and ready to publish the campaign.
Viewing Assets
Once you publish your campaign, you'll be returned to the main Dashboard page. Click on Campaigns in the menu and click on your new campaign which will bring you to the summary page.
From here, you can:
- Copy the share link for the campaign
- Schedule a social media post
- Send a message to members in the Hub app
- Download assets
Set Up Social Media Announcement
If configured in your social media settings, a Referral Campaign announcement posts automatically at 9:00 AM the morning after your campaign begins. Starting a campaign immediately, for example, schedules its announcement for 9:00 AM the next day and starting 3 campaigns at once schedules 3 separate posts for that same time.
To update your settings, go to Settings > Social Media > Program Activities. Toggle off any programs you don't want auto-posted. If you'd like Referral Campaigns to post automatically, click Edit Default Channels to choose where announcements should go.
If any campaign targets a specific segment and shouldn't be announced publicly to all members and followers, go to Manage > Social Media and delete the scheduled post before it goes out.
Running Multiple Campaigns at Once
Unlike a single standard campaign, the Referral AI Agent lets you run completely different campaigns for different audiences at the same time. For example, one for new patients, one for VIPs, and one for your star referrers. Each campaign has its own message and experience, and none of them require your team to actively manage them once they're live. They just run.
Marketplace Content
To help you promote each campaign, the content marketplace offers pre-made campaign ideas that come with everything you need: waiting room flyers and posters, TV screen graphics, and business cards that match what patients are sharing with friends. It's ready to use, no design work required.
Omni-Directional Referrals
The Referral AI Agent expands referrals beyond patients referring patients. Depending on which Culturello products your business uses, referral relationships can include:
- Patients referring patients
- Employees referring new team members
- Partners referring patients
- Employees referring families
- Patients referring new team members
Every relationship your business has can work for you at the same time, without anyone needing to remember to ask.
Smart Leads Table
When referrals come in, every lead lands in one place with a clear status and full history. Your team can see who came in, how long they've been in the pipeline, and what needs to happen next. No referral falls through the cracks. CLICK HERE to learn more.
AI-Powered Performance Updates
The Referral AI Agent doesn't just run your campaigns, it watches them. It reads the data, learns what's working, and points your attention in the right direction, functioning like an analyst on your team who never clocks out.
For a deeper look at how campaign performance is broken down, check Referral Dashboard article.
At Culturello, every referral is more than a new lead — it's a member's trust in you, passed along to someone they care about. With the Referral AI Agent working in the background, that trust keeps turning into new relationships, campaign after campaign, without your team lifting a finger.
