Every referral campaign includes a Communications section, where you control every message a member receives about that campaign from their first invitation to refer, through ongoing reminders, to the thank-you they get after sharing.

A single message asking someone to refer a friend rarely lands at the right moment; most people forget, or the ask arrives when they're not thinking about your business at all. Spacing reminders out and tying some of them to real moments (a great review, a redemption, hitting a points milestone) means members hear from you when they're already primed to think positively about your business, not on an arbitrary schedule.

Invitation to Refer

This is the first email a member receives about the campaign, and it's also reused for the ongoing reminders sent on whatever drip schedule you set below. Toggle it on or off at the top of the section.

You can personalize the message using drag-and-drop variables:

•     Member First Name

•     Member Reward

•     Lead First Name

•     Lead Reward

•     Business Name

•     Business Website

Fill in the Subject line, or leave it blank to automatically use your Headline instead. 

The Headline itself is the hook members see first — write it to spark curiosity or speak to a real moment (for example: "Another parent is still searching for this"), then use the Body to explain why sharing matters and make it easy to act.

The message editor supports basic formatting (bold, italics, underline, lists, links, and alignment), so you can style the message to match your voice.

Referral Auto-Ask System

The Auto-Ask System controls how often members are reminded about the campaign after the first Invitation to Refer message, which always goes out at 9:00 AM on the day the campaign starts.

Campaign Ongoing Drip Messages

Set a Message Drip Schedule to control how often automated reminders go out to keep the campaign top of mind. Options range from Weekly and Every Other Week to Monthly, Every Other Month, and Quarterly.

A quarterly drip is a reasonable default for most businesses. It’s frequent enough to stay visible, and spaced out enough to avoid over asking . Businesses running a high-urgency push (like a seasonal campaign) may want to shorten the cadence temporarily, while others with a smaller or more engaged member base may prefer a lighter touch.

Auto-Ask for Referrals at Milestones

Beyond the regular drip, you can automatically send a referral message at key moments when a member is most likely to feel good about your business and receptive to sharing:

•     The member redeems a prize

•     The member receives 500+ points

•     The member leaves a Hub review of 4+ stars

Each trigger can be toggled on or off independently.

These moments aren't arbitrary, they're each at a point where a member has just had a positive, tangible experience with your business. Asking for a referral right after a great review or a reward redemption catches someone while that good feeling is fresh. This method is far more effective than an ask that arrives on a fixed date unconnected to anything the member just experienced.

Frequency Cap

Your business sets a Frequency Cap that limits how many referral messages any one member can receive, no matter how many campaigns are running or how many drip and milestone triggers apply. 

Click Edit next to the Frequency Cap note to adjust your limit or navigate at any time to Settings> Other Settings>Referral Settings

Without a cap, a member who qualifies for multiple campaigns and hits several milestones in the same week could end up hearing from you constantly, which erodes goodwill fast. The Frequency Cap makes sure your messaging always stays in the range of helpful rather than annoying, regardless of how many campaigns you're running at once.

Thanks for Sharing & Successful Referral

Two additional automated messages round out the member experience, each with its own on/off toggle:

•     Thanks for Sharing — sent to a member right after they share the campaign with a friend.

•     Successful Referral — sent to a member once their referral converts, letting them know their friend became a member.

Both follow the same variable and formatting options as the Invitation to Refer message, so you can personalize them the same way.

Lead Communications

The Lead Communications section lets you configure the messages an invitee (the referred lead) receives:  their welcome message, signup confirmation, and any follow-up. 

It uses the same variable and editor tools described above, tailored to the lead's side of the conversation.

Once these settings are in place, your campaign will communicate with members automatically and consistently, with no extra effort required from your team. If you'd like to adjust any of it later, you can return to Member Communications at any time.

You may also send a one-off message by going to Referrals>Campaigns and clicking on a specific campaign>Actions section.
