How to Add Partners to your Hub

Your partner list is the foundation of Partner Hub. Every partner you add gets their own profile and is credited for every patient they send, so you always know which offices are behind your growth.

Adding an Individual Member

Navigate to Members at the top of the screen and click Members, > + Add. You can also click the Add Member tab on your home page.

  1. Click Individual Member on the left.
  2. Enter the partner's First Name and Last Name.
  3. Add their Mobile Phone and Email.
  4. To invite them to Partner Hub, check Send a registration invitation upon adding member.
  5. Upload a Logo or photo (horizontal, up to 800 × 400 px; PNG, JPG, or GIF, max 8 MB).
  6. Choose a Status Tag and Lead Source.
  7. Click Add Member.

Adding an Organization Member

Most referring partners are dental or medical practices, so this is the type you'll use most of the time. Choose Individual Member only when the partner is a single practitioner or consultant rather than a whole office.

  1. Click Organization Member on the left.
  2. Enter the Organization Name.
  3. Choose an Industry and add the practice's Website.
  4. Enter a Phone number and Email.
  5. Add the practice's Address.
  6. Upload the practice's Logo. For best results, use a horizontal logo up to 2000 × 1000 px (SVG or transparent PNG recommended, max 5 MB).
  7. Choose a Status Tag and Lead Source 
  8. Click Add Company.

 

 

Why the logo matters: The logo you upload appears on the partner's co-branded referral pad and their personalized Partner Ideas printables. A crisp, high-quality file makes every printed piece look professional.

Choosing a Status Tag and Lead Source

The Status Tag describes where the relationship stands and places the partner in the matching group. Options include Active, Future Partner, Inactive, and Study Group Partners. For example, choosing Active places the partner in your Active Partners group.

The Lead Source records how the partner came to you: Direct outreach, Referral, Event, or Other.

What Your Partner Receives

When you check the invitation box, your partner receives an email inviting them to create their Partner Hub account. 

Note* Organizations aren't invited to register in the Hub. You'll stay connected with them through messages instead. See Sending Messages to Partners below.

Adding Leads

Not every office is referring to you yet. Add prospective partners as an Individual Lead or Organization Lead so you can track the relationship as you build it. The fields match the member forms; click Add Lead when you're done.

Viewing a Partner's Profile

Once you add a partner, their profile opens with a green success message. The profile keeps everything about the partner in one place:

  • Organization Info shows the partner's Group, their Tags, and the date they were added along with the contact details, address, website, and industry you entered. Click the pencil icon to edit. 
  • Add or remove tags right from the Tags field. If you see a red Missing Tags/Group label, click the Tags field and choose a tag such as Active or Future Partner.
  • Lead Source shows how the partner came to you and who referred them, if anyone. Below it, the Referrals card lists every patient this partner has referred to you; click a name to open that lead.
  • Notes is where your team can record anything worth remembering, like the office manager's name or what you dropped off last quarter. Click Add Note + to add one.

Use the tabs across the top (Profile, Add Points, Activity, Orders, Tasks, and Messages) to see the partner's history.

Sending Messages to Partners

Regular, thoughtful communication keeps your practice top of mind. Use messages to share an update about a patient you have in common, send a monthly newsletter, or share quarterly updates.

  1. Open the partner's profile and click Send Message.
  2. Choose a template under Start from template, such as the Partner Connection Newsletter, or write your own.
  3. Edit the Subject. Drag in variables like Recipient First Name or Business Name to personalize the message.
  4. Edit the body with the formatting toolbar. You can add images, links, and emoji.
  5. Under Send via, choose Email, In-app, or both.
  6. Under When, choose Send now, or choose Schedule and pick a date and time.

Your Members List

Every partner you add appears in your Members list (Members > Members). Each row shows the partner's logo, name, date added, member type, and email. Organizations show Organization in the Member Type column, and Individuals show Individual.

The logo next to each name is the same one that appears on that partner's referral pad and Partner Ideas printables, so it's a quick way to check that every partner's branding is ready.

Converting a Partner Lead to a Member

When a prospective partner is ready to join, open their lead profile and click Convert to Member under Actions. For Individual partners, the progress tracker then shows Member Added, Send Invite, and Member Registered; click Send Invite to send the registration invitation if you didn't send it when adding them.
