Adding and Converting a New Patient Lead

Because we know how important it is to keep track of patients who attend consultations, Patient Rewards Hub helps you easily organize their files in one spot. Here’s how:

Add a New Patient Lead

Navigate to the New Patient Lead Page

To add a new patient lead, simply click on the “Users” tab in the grey toolbar at the top of your screen, and select “New Patient Lead” from the drop-down menu.


Click on the “Add New Lead” button.


Connect a rewards card to your new lead’s account by either swiping the card through the reader or typing in the username manually. (If manually entering the number, you will be prompted to enter it twice to ensure accuracy.) If you do not wish to add a card, simply click “Skip Adding Card.”


On the New Patient Lead Information screen, you will be prompted to fill out as much of the new patient's information as possible, but First Name, Last Name, Date of Birth, and Group are the only required fields.


**Note** Be Sure to Get Their Email

Because email is the most effective way to keep your new leads informed, make sure you get an e-mail address from them so that they can receive notifications from your practice. From this page, you can also choose which notifications get sent to the supplied email address.

Once all fields are completed, click the blue "Finish" button.

**Note** If you do not click “Finish,” your new patient lead will not be saved in your system.

 

Convert a "New Patient Lead" to a "Patient" Account

Once a New Patient Lead officially joins your practice, you can turn their New Patient Lead account into a Patient with the quick click of a button.

Simply bring up their profile.


Click on the "Convert to Patient" button.

"Confirm" that you want to make the switch.


And you're finished!

 

Do a Final Check

It's always a good idea to double check that newly converted patient leads do not have any lingering lead accounts in your system once they are converted to patient status. Lingering lead accounts can cause issues with username setup, email verification, and communication campaigns down the line.

To double check that a converted Patient Lead no longer has any Lead accounts in the system, simply search for their profile, and verify that:

  1. Only one account appears
  2. The account that appears is tagged as "(Patient)"
